Melita is committed to protecting the privacy and security of personal data that we receive and process in order to provide services to our clients. This Privacy Statement governs personal data collected by Melita to use as an HR outsourcing service provider for our clients. Melita will collect and process the personal data of your employees only as instructed or permitted by our employer clients and their employees. Melita maintains appropriate security controls to protect personal data, including an internal Data Privacy Policy that applies to all associates worldwide. The Data Privacy Policy helps us ensure that personal data is handled properly. It protects information collected online as well as offline.

Melita will disclose personal data to other entities when instructed by our employer clients. Melita may also disclose personal data to our affiliates and third party processors only as needed to provide the contracted services. These entities are contractually bound to limit the use of the personal data as needed to perform the services. Outside of these uses, we will only disclose personal data when required to do so by law, such as in response to a subpoena, including to law enforcement agencies and courts in the United States and other countries where we operate.

Personal Data Collection and Use

In the ordinary course of its business, Melita may collect various types of personal information, including but not limited to:

• Identifiers such as a real name, alias, postal address, email address, social security number, driver's license number, passport number or other similar identifiers.
• Employment and Background Information: Resume, job history, qualifications, criminal records searches, etc.
• Financial Information: Bank account details, etc.
• Employee Data: Personal and sensitive employee information, such as health information as needed to manage benefits and leave administration, and racial or ethnic origin.

We use your personal information for various purposes, including but not limited to:

• Providing HR outsourcing services and support.
• Processing payments and billing.
• Managing employment-related data for our clients.
• Communicating with employees and client contacts about our services, and updates.
• Complying with legal and regulatory obligations.

We may share your personal information in the following circumstances:

• With our clients to facilitate HR-related services.
• With third-party service providers who assist us in delivering our services.
• When required by law, legal process, or government authorities.
• In connection with a business transfer, merger, or acquisition.

Personal data may be transferred and processed in countries outside of your own. We will take appropriate measures to ensure the protection of your data.  Melita has implemented reasonable technical, physical and administrative safeguards to help protect the sensitive personal data from unlawful use and unauthorized disclosure. All Melita associates and contingent workers are required to follow these established procedures, both online and offline.

Access to sensitive personal data is limited to those associates who have a need to access the information to perform tasks for Melita. Melita will only disclose sensitive personal data to those service providers, auditors, and/or advisors who are legally or contractually obligated to protect them or as required or permitted by law.
